This is the place to view the club bylaws, underage member policy, and trip permission form. Feel free to print them out, review them and post any questions you may have.

E'ville Jedi FanForce
The E’ville Jedi Mission Statement is to enjoy our common love of all aspects of Star
Wars with our fellow members and to have fun while doing so.
ARTICLE I.
OFFICERS
All E’ville Jedi Officers shall be at least eighteen (18) years of age.
A. Officer Duties
The Officers of the E’ville Jedi will consist of the following:
Chapter Rep/President: The Chapter Rep ("CR") has a unique position within the group.
First and foremost, this position was created by The Force.net ("TF.n") to ensure that
each city forum abides by the site's rules and regulations. The CR must ensure that all
online forum communication follows the guidelines of TF.n. The CR is our group liaison
to TF.n. He/She must report all group activities (DATE/TIME/PLACE/DETAILS) to
TF.n for liability reasons. Additionally, our CR will double as the club President. The
President is the “Umbrella” member of the group. This person needs to have both the time
and the motivation to be actively involved in every facet of the E’ville Jedi. He/She will be
asked to chair meetings and will work in conjunction with the other administrative
positions to promote a productive and fun environment. This person will also schedule
meetings and events and encourage participation by all members. During scheduled events
outside the meetings, the President will serve as spokesperson for the E’ville Jedi.
Secretary/Treasurer: The person serving as Secretary will be responsible for recording the
minutes of each meeting, as well as the posting of all meeting minutes and any threads
about sanctioned group activities (DATE/TIME/PLACE/DETAILS). The Secretary
should also be ready to step in if the CR/President is unable to attend a meeting.
Additionally, our Secretary will double as the Club Treasurer. The Treasurer performs all
duties associated with collection and distribution of monies. Once money is collected
(from fundraisers, donations, etc.) it will be logged into a register. The Treasurer will log
all incoming and outgoing transactions. The register of the E’ville Jedi will be available for
inspection by any member who wishes to do so. Members will be reinbursed from this
account for the money they spend on the club (i.e. cost of printing flyers, etc.)
Additionally, monies from this account may be used for specific club activities. We will
vote on whether or not to use said monies for specific events whenever the need arises.
We do NOT charge membership dues at this time.
Webmaster: The Webmaster performs all duties associated with maintenance of the
“Official” E’ville Jedi web page, including, but not limited to, keeping the web page
updated and ensuring that the domain name registration is kept current.
B. Election of Officers
The E’ville Jedi Officers shall be elected by a simple majority vote of all members present
during the January election meeting of each year. Nominations for officers can be made at
the November and December general meetings. Proxy nominations and votes by active
members who cannot attend the nomination or election meetings will also be accepted.
If any Officer should have to leave before completing his/her term of office, a special
election will be held at the next meeting.
C. Removal of Officers
After careful consideration--to be exercised in a strictly confidential manner--members
may remove any E’ville Jedi Officer from his/her office, whenever the best interests of the
organization would be served thereby. The final decision to remove an officer shall be
made through a simple majority vote by all members present at a special meeting (see
IV.C). Proxy votes by active members who cannot attend the election meeting will also be
accepted.
ARTICLE II.
SIGs (Special Interest Groups)
In addition to the main organization, SIGs may be created to focus not only on specific
E’ville Jedi administrative matters--such as membership or marketing/media relations--but
also the many aspects of Fandom--such as books, collecting, travel, prop making, fan
fiction, etc. Each SIG will be headed by a person (the "Moderator") appointed by either
the E’ville Jedi membership or members of the particular SIG.
SIGs may be structured in a manner similar to that of the E’ville Jedi as a whole, but this is
not required. Members may be involved in several SIGs at one time, but common sense
should be exercised so as to NOT spread any individual too thin. A “Moderator” can only
be the “Moderator” of one SIG at a time. All problems arising within a SIG should be
brought to the “Moderator’s” attention. If the “Moderator” is unable to resolve a
particular issue, the membership of the SIG should vote on the matter to bring the matter
to rest.
During all E’ville Jedi meetings, “Moderator’s” should be prepared to deliver (if asked to
do so) SIG Reports that briefly (no more than two or three minutes) describe members'
activities during the prior month, who is doing what, and plans or goals for the future.
“Moderator’s” must also be prepared to answer, or have resources available to find an
answer, to any questions that may arise in the course of a meeting.
Currently we have 2 “formal” SIGs. Our book club meets on the last Thursday of each month at Borders Bookstore in Evansville at 6:30 P.M. Our collector's club meets on the third Wednesday of each month at 6:00 PM and will be hosted by one of its members. Conducting SIG business by telephone, e-mail, or group chat is also an acceptable practice and should be encouraged
within SIGs.
ARTICLE III.
MEMBERSHIP
A. Active Membership
Active Membership means just that: BEING AN ACTIVE MEMBER! Regular attendance
at meetings and group functions is required. This does not mean, however, that someone
will be refused membership if they miss a meeting or two. Active Membership consists of
posting in the forums on a semi-regular basis and attending meetings on a semi-regular
basis. Individuals who cannot be Active Members should not consider running for any
E’ville Jedi office. Beyond that, however, who wouldn’t want to be an Active Member?
Special considerations will be given to members who are unable to attend meetings due to
living outside of the Evansville area, but are active posters in the forum. Those joining
our club do not become Active Members (and thus can't vote) until they've attended 3
General or SIG Meetings.
B. Recruiting
The most important ingredient in an organization's recipe for success is the strength (both
qualitative and quantitative) of its membership base, and E’ville Jedi is no exception to this
rule. All members are strongly encouraged to invite their personal and professional
contacts (anyone who loves Star Wars!) to visit E’ville Jedi meetings, functions, and
forums. When someone new enters the forums, everyone should go out of their way to
make the visitor feel welcome and invite him/her to the next meeting.
C. Underage Member Policy
Star Wars has always been a story for all ages. Our group is comprised of members that
reflect many of those ages. However, we feel it is important for parents/guardians to be
aware of some things if they choose to let their minor child join our group:
1)No one will be supervising your child. While it is never our intention of letting a
minor get into trouble, the responsibility for their actions lies with the
parent/guardian.
2)We encourage parents/guardians to be involved. We would like parents/guardians to
get to know the other members of the group and the types of activities in which we
engage. Also, if parents would like to join the e-mail list to monitor e-mails, they
are welcome and encouraged to do so at any time.
3)Please see Article V, Section E. of the E’ville Jedi By-laws for our Alcohol
consumption policy. Basically it is this: Alcohol may be allowed during E’ville
Jedi meetings or events as long as eveery member in attendance is at or above the
legal drinking age, i.e. 21 years.
4)Language used. The group attempts to maintain all discussions at the PG level.
However, some inappropriate language might inadvertently be used.
5)You are respossible for transporting your child. The group will not be responsible
for transporting your child to or from meetings or social events. If you do not
attend the event with your child, please be sure your child has a safe mode of
Transportation to and from club events.

7)Minors who wish to participate in club activities will be required to sign and also
have their Parent/Guardian sign the separate Underage member policy form with
Consent & Waiver of liability.
ARTICLE IV.
MEETINGS
A. General Meetings
Currently the E’ville Jedi regular general meeting takes place on the second Saturday of
each month at 4:00 PM, as determined by a simple majority vote during the October 2003 General Meeting. The date and time of General Meetings, as well as any future
changes in same, shall be determined by a simple majority vote of all active E’ville Jedi
members.
General Meetings are presently held at Comic Quest, which is located on Morgan Avenue
in Evansville.
B. Special Meetings
From time to time, activities such as cookouts, movie premieres, and other special events
come along, which are welcome opportunities for E’ville Jedi members to meet and gather
outside of General Meetings. When group business is conducted during one of these
functions, the function shall be classified as a Special Meeting and minutes should be
taken. A member shall be appointed to take notes and forward them to the Chapter Rep or
someone else willing to post the notes in a timely manner.
C. Notice of General and Special Meetings
Notice of General and Special Meetings, or any changes thereto, will be furnished to all
members at least (7) days prior to the meeting date. Such Notice should include the date,
time, and place of the meeting and, in the case of a Special Meeting, the purpose for which
the meeting is called.
D. Special Interest Group Meetings
Notice of Special Interest Group Meetings will be furnished to all members via the
Evansville FF forum at least (7) days prior to the meeting date. Such Notice should
include the date, time, and place of the meeting. If the meeting has to be canceled, a notice
will be posted on the forum 48 hours in advance.
E. Alcohol Consumption Policy
All E’ville Jedi members and guests shall observe the following Alcohol Consumption
Policy:
1) Alcohol consumption may be allowed during any E’ville Jedi meeting or event,
provided that all members in attendance are either at or above the legal drinking age in the
United States (i.e., 21 years old).
2) If members under the age of 21 attend an E’ville Jedi meeting, no alcohol shall be
consumed by any member during said meeting.
3) If children or young adults under the age of 21 accompany their parent(s) to an E’ville
Jedi meeting or event, alcohol consumption shall be allowed for guests of legal drinking
age only, provided that at least one of the parents agrees to be the designated driver for
his or her family (i.e., he or she agrees to not consume any alcoholic beverages during the
meeting or event).
4) The purpose and intent of this Alcohol Consumption Policy is to neither condone nor
encourage the consumption of alcoholic beverages at E’ville Jedi meetings and events. In
contrast, this policy has been put in place to ensure: (1) protection of all members and
guests, especially those who are under the legal drinking age; (2) safe roadways that are
free of drunk drivers; (3) compliance with United States laws governing alcohol
consumption; and (4) observance of the letter and spirit of the E’ville Jedi Mission
Statement, which is simply to have fun and enjoy our common love of Star Wars with our
fellow members.
Any member or guest who violates this policy during any E’ville Jedi meeting or event
shall be asked to leave the premises immediately. Should an individual’s alcohol
consumption rise to the level of public intoxication, or if his or her behavior violates any
other local, state, or federal law, either the event host or an E’ville Jedi officer must notify
the proper authorities and—if it is possible and safe to do so—ask the perpetrator to
remain on the premises until law enforcement officials arrive. Further, any individual who
violates this policy shall be banned from attending all E’ville Jedi-sponsored functions,
pending a full investigation. Although each violation of this policy will be investigated on a
case-by-case basis, with all pertinent information being considered, judgment will be
distributed in the most judicious form possible, up to and including permanent banishment
from membership in, and association with, the E’ville Jedi organization. See Article V.
Disciplinary Action for more information about the E’ville Jedi disciplinary procedures.
As a final thought, please strive to use common sense when attending E’ville Jedi
functions, resist the powers of the Dark Side, and—most importantly—remember the true
purpose for our gatherings: to share and celebrate our love of Star Wars.
ARTICLE V.
DISCIPLINARY ACTION
In the event an incident of unethical conduct displayed by any E’ville Jedi member is
brought before the members of this organization and such conduct is proven to be true
beyond a reasonable doubt, the member shall be expelled in the following manner:
1. A majority vote of all members present at a General Meeting in favor of such expulsion.
At least 15 days prior to such meeting, the Secretary shall send by certified mail to said
member's last known address a notice of the pending action, together with a copy of the
charges.
2. Upon such expulsion, such member shall have the right to appeal.
3. In the event such expulsion is upheld by the E’ville Jedi, or appeal is not taken, such
member's name shall be stricken from the roster.
ARTICLE VI.
COMPENSATION AND REIMBURSEMENT
No E’ville Jedi Officer or other member shall be compensated for duties performed or
services rendered on behalf of this organization. Reimbursement of expenses incurred on
behalf of the organization, however, may be made at any regular club meeting. At the
present time, no dues are required for membership in the E’ville Jedi, so in order for you
to be reimbursed, we will use monies from our account that has been attained through
fundraisers, etc. or a “Pass the Bucket” method to generate funds for particular projects
may also be used. It is requested that receipts be made available for viewing by the
members present in order for us to “Pass the Bucket”. Additionally, members are to pay
their own way during any & all club activities whenever possible.

E’ville Jedi
Underage Member Policy
The E’ville Jedi is an unofficial Star Wars fan club (not affiliated in any way with
Lucasfilm, Ltd or its subsidiaries). It is made up of people who enjoy the Star Wars films
and their various spin-offs. We enjoy spending time with each other in various pursuits,
such as, but not limited to: discussing our love of Star Wars and collecting; movie outings;
video game playing; and science fiction convention attendance.
Star Wars has always been a story for all ages. Our group is comprised of members that
reflect many of those ages. However, we feel it is important for parents/guardians to be
aware of some things if they choose to let their minor child join our group:
No one will be supervising your child. While it is never our intention of letting a minor
get into trouble, the responsibility for their actions lies with the parent/guardian.
We encourage parents/guardians to be involved. We would like parents/guardians to
get to know the other members of the group and the types of activities in which we

I understand that I may participate in E’ville Jedi Club Events and monitor e-mails sent
on the e-mail list at any time.
I understand that it is my responsibility to arrange safe transportation to and from
E’ville Jedi Club Events for the minor.
I am satisfied that if I am not present, the minor is sufficiently responsible and
experienced to assume full and entire responsibility for his/her own safety during
E’ville Jedi Club Events and to remove himself/herself from any situations in which
he/she feels uncomfortable.
