Awards Show Projects/volunteers/checklist

    OK, I get alot of PM's from everyone volunteering and who is doing what projects etc. I really think we need to use this forum more for those responses for a few reasons ....

    It keeps everyone in the loop and I have all my volunteer project stuff in one place ;)

    I will break the checklist down into stages for easier management. Here is a list of projects and volunteers needed/or involved. I will continuously update this once all volunteers/projects are filled. Also keep in mind I am writing the program so if there is something u need a time slot for please PM me so I can seewhere we can place it in the show.


    Awards entrance: There needs to be a table by the door for guests to check in and/or register.
    I would like to use name tags this year when they check in that will read

    Username
    Chapter ( I can make these and bring them)

    We need 2 people for this: one to check in guests and one person to make sure no one goes thru the door till start time. :)

    Volunteers:

    ASST Director
    This person will be making sure the guests are cued up for their performance/presenters. Making transition from banquet to awards runs on time.

    Need someone to work with me at the table to run lighting, set up projector and sound. Running laptop cueing sound bytes, slide show etc.

    GReencat has put a call out to any costumed help to present awards. We can track what costumes are helping here and what award they are presenting:

    Projects:

    Table themes: Each table will be dedicated to one of the 6 movies.

    Strawbary - Candy Holders


    Goodie Bags:various items /goodies will be placed in the bags as party favors for the guests. Approx 50 wil be made.

    Volunteers:
    Tradmic - Candy, glow sticks,trivia cards
    Strawbary- candy,Playdoh,giftbags

    I haven't received any video messages yet. The only one I know of is from Rochester, but I've yet to get it.

    I'll handle the security for you to ensure that no one gets in before 6. Sent an email to the group looking for 2 more volunteers for you.

    For technical help, Larry will be there. He's great with AV and is always ready to lend a hand.

    can u ask Larry if he is willing to help with that? I know my husband will be doing AV as well, but we def need another to help set up, sound check etc. When he confirms post here so we can add him to the volunteer list :)

    thanks... Chris the pittsburgh fan table needs a volunteer or two for saturday. A majority of the SWAP members are all in panels. There is a sign up thread in the pittsburgh forum. Can u help spread the word for someone to take a 2 hour shift? or even on hour. I think anything would be helpful.

    I've got the 3 volunteers (security and check in) for the dinner covered. Not sure if we could accomodate the fan table, but will check into it.

    can we recruit any troopers for security like last year? so when the guests run over on time they can be escorted off?

    Zerocool will be doing the tech for the panels all weekend, so I'm sure we can recruit him into helping out at the Awards.

    As for nametags, I think that's a great idea, but lets simplify a bit. Have the blank name tags at the registration table and then let the folks fill them in themselves when they check in. (one less thing to do, in my point of view)

    the name tags I can do for the ones who are already prepaid, we can have the same name tage format blank at the table for those who are walk ins :) I dont mind printing them up. If we have a master list of who is attending its not that much trouble. Either way I will bring them :)

    we had these at the regional xmas party and it was a nice touch :)

    I confirmed with Larry that he is available to help with any technical difficulties that may arise. Have another to assist with security if needed.

    we still currently need one person in armor for security to escort guests/presenters and rambling rsa's away from the podium when they have run over their alotted time ;) This person would need to be in armor next to the podium thru the whole show. We had one last year he didnt do much but when he did it was funny :)

    Yeah it was pretty bad. We bailed it out once and then it filled up again :( It's still not completely dry...bleh.

    planning is set.. just projects still trying to finish. I still have to make candy and am finishing up bags tonight. I lost a chunk of time monday so Im a bit behind..... but the candy is on my agenda for thursday evening.
    The powerpoint is being finished tomorrow night during my daughters dance class and then we should be set to go.

    Im running into a snag on the programs but I think I should have that ironed out tomorrow.
    being sick last month really set me back.......

    everything seems in order though..... so its just a matter of a few late nights here thats all ;)

    I'm all set here. Just finishing up a new costume to debut.

    I forgot what time you want the security and registration help. My mind is like a sieve lately.

    its all a blur really..... I am mush now too.... but I have asked everyone involved to arrive at the room at 5 pm so we can do the quick once over and go over whats what ;)

    Kyle had something come up with his family and cannot go now. I'll look for a replacement to help with registration.
