Please arrive at 4pm. We can park in front of the hotel to unload, but will then need to park our cars. We can park across the street or in any of the local ramps. Sorry, at this time we are not offered reimbursement for parking. I will meet everyone inthe lobby at 4pm. Once everyone arrives, we will walk through the areas we will be entertaining in and review a few requested posts. Everyone needs to be ready in costume at 5:15pm. Guests will begin arriving at 5:30 and will be roaming through the auction items, photo stations, interacting with us, and visiting the bar.

At 7:30 everyone will be let inside the main hall where dinner will be served. At this time, we can all head to the volunteer area and will be served dinner. if you are not in armor, you are free to get out of costume and pack or get cleaned up if you are staying.

At roughly 9:00pm, the armored characters are needed to help with the live auction. We've been asked to "suggest" the guests bid high and bid often. Once the auction is over, we can get out of costume and are done for the evening.

We are free to stay and enjoy the reainder of the gala (scheduled to end at Midnight). There will be munchies and drinks available all night.

Since some people are staying and others are leaving, I ask that you be mindful of those who need to clean up for the evening. We have 3 rooms to change in.


We have been approached to help with the CGD annual fundraiser. Costumes will be REQUIRED for the event at this time; however, it may change to accommodate a need for 1 or 2 wranglers.

This year is the CGD's 30th Anniversary and they have decided to use A New Hope as the theme. Any Star Wars costumes are welcome and encouraged. We'll be posing for pictures; re-enacting scenes from the movie (provided we have the correct personnel, dueling, assisting with the auction, escorting guests to their seats, and helping create an overall SW vibe for the evening.

I have met with one of the board members and will be meeting again soon. For now, I need to give a headcount of those who are available and what costume you will be wearing so we can begin planning further.

We are needed up to the auction and then are free to change out of costume and stick around to enjoy the evening. However, if you chose to stay, you are required to be dressed in formal attire. The more costumes we have that have faces covered, the better.

Arrangements are in the works to enjoy a dinner. We will have several rooms to change and take a breather.

due to the ate change there is a possibility that we will not be available for this. we won't know until a little later though. what is the date you need a headcount for? we will tey to find out asap.

 

They are looking for a headcount asap but I advised it may change as we get closer. I might tell them 15 for now and hope for mroe along the way.

 

I should know more very soon about the recital time that day. Rob is scheduled to work that weekend, so he will be a last minute decision.

Looks like I will be there for the whole evening, if all goes well. (If I am needed before dinner for the duel, I will have to miss the recital.) Rob and Leia/Ahsoka will be coming late, but should be there for the auction portion. We can work it out better that way verses leaving early, due to time.

 

I will make myself available for this. Jedi I would assume for the Dueling.

 

Are we all going to reserve a table for dinner? Amy is going to come as well, but not in costume. She will be a paying patron. If we're not then I hope you all don't mind if me and Amy get a table for ourselves since we would like to enjoy the evening for a good cause - and formal attire, too.

 

As far as a table goes, we might be at the mercy of the organizer. I'll know better by the end of the week.

 

I'm waiting on an email reply today and will update what I find out.

I have also been invited to meet with the board in the beginning of March.

Only news to share is that there is a server problem at CGD and the emails they are trying to send to me are bouncing back. Will be attending their board meeting on Wednesday evening and hope to have more details.

Dan & I met with the board last night and can share that CGD is VERY excited to have us on board! Once I get a chance to review my notes, I'll pass on updates to everyone.

 

Here is a brief synopsis of our meeting last night:

We are needed for an all-hands-on-deck from 5:15pm - 7:30 pm on June 20. I'd imagine we will need to arrive by no later than 4:15pm. CGD would like us to meet together at the Hyatt between 6/17 and 6/20 to walk through so we all know where we should go/are allowed to go/ and have a general idea of what is expected of us.

2 Stormtroopers are needed to "guard" the bottom of the escalator between 5:30-7:30. If we have more than 2, we can rotate.

1 or 2 "highly recognizable' costumers are needed outside between 5:15 and 7:00 to direct people inside the Hyatt.

Darth Vader will be standing on a platform at the top of the escalator between 5:30 -7:30. This may change as the costume is needed for other activities as well.

There will be 2 photo op areas. The first will be stationary near the entrance and registration. Details are still being worked out and may include costumes for guests to slip into for a quick picture, a quick lightsaber demonstration and videotaped duel with one of us, and/or just costumers with a backdrop for guests to stand with us and get a photo. The second will be mobile pictures. We will be assigned to a photographer and money collector who will solicit photo requests from the guests while we mingle.

Once the doors to the main hall open, we will need to assemble together and form a line with sabers in the air. Guests will then walk under as they are ushered in by the Stormtroopers. Once inside, we may have a duel onstage prior to the presentations.

Once the auction starts, helmeted characters are needed to help "entice" people to bid on auction items. Everyone else will be free to get out of costume and get ready for the evening/pack up their gear, depending on what your intentions are for the evening.

We will be served dinner in the TBD "green room area".

I think it will be a good idea to work with CGD to set up a schedule so everyone knows what time they need to be where. CGD may be providing wranglers to come get us when needed elsewhere.
