Buff, NY *** Camp Good Days & Special Times Fundraiser Gala - June 20, 2009 ***

Please arrive at 4pm. We can park in front of the hotel to unload, but will then need to park our cars. We can park across the street or in any of the local ramps. Sorry, at this time we are not offered reimbursement for parking. I will meet everyone in the lobby at 4pm. Once everyone arrives, we will walk through the areas we will be entertaining in and review a few requested posts. Everyone needs to be ready in costume at 5:15pm. Guests will begin arriving at 5:30 and will be roaming through the auction items, photo stations, interacting with us, and visiting the bar.

At 7:30 everyone will be let inside the main hall where dinner will be served. At this time, we can all head to the volunteer area and will be served dinner. If you are not in armor, you are free to get out of costume and pack or get cleaned up if you are staying.

At roughly 9:00pm, the armored characters are needed to help with the live auction. We've been asked to "suggest" the guests bid high and bid often. Once the auction is over, we can get out of costume and are done for the evening.

We are free to stay and enjoy the evening. There will be munchies and drinks available all night.

Since some people are staying and others are leaving, I ask that you be mindful of those who need to clean up for the evening. We have 3 rooms to change.

Alright, I'm scheduled to work until 5:30, but I'm going to see tomorrow if I can get that changed so I can get out before 4 and be able to make it. We shall see.

Please enter Gala through the main Hyatt entrance on Pearl Street
Parking is available in the Augspurger Parking Ramp located on the corner of W. Huron and Pearl Streets and the Pro Park Lot on Pearl Street across from the Hyatt.

Are we car pooling? Also is it a cash bar or free drinks?

 

Please note the Midnight end time for the gala. At this point, we'll be going back to the rooms to retrieve our gear and say our goodbyes.

We are all invited to bring cash if we'd like to take part in any of the raffles/auctions/beverages for the evening. Water will be available for us at any point in the evening (in and/or out of costume).

 

What, we don't get to crash in the rooms for the night?

 

I'm not sure where anyone got that impression, but no.

I think we are overdue for a group shot. Once everyone is ready, we can assemble for a nice group picture to update the website. It's been a long time since we've had a very nice group shot.

 

There is a new skit in place that involves everyone.

We will all help gather up the guests before they are let into the main hall. The doors will open to the main theme with video screens thanking the sponsors for the evening. we will make our way into the hall and stage an unchoreographed "battle" of good vs bad guys. To make it as realistic as possible, good guys will take some bad guys hostage (officers) and the imperials will take a pilot or 2 hostage, then escort them out of the room as people are taking their seats.


See you all at 4pm Saturday. You may park and unload at the front door, then park your car in one of the nearby lots. Please plan for a group picture by 5:15 as well as a quick walk through together and a few assignments.

We'll need:
1.) Two costumers outside near the front door
2.) Two Stormtroopers "guarding" the bottom of the escalator
3.) Vader at top of escalator, acting menacing
4.) Two or three costumers in the photo op area. People will be asked for donations to pose with us there. CGD staff will be walking around with cameras and asking if guests want their picture with us. In exchange, they'll get a Polaroid for their donation.
5.) The rest of us are asked to mingle throughout the rest of the area. Those roaming, please check on the costumers stationed outside and at the escalator.
6.) we are being asked not to go into the camper's green room. Small children will be in there and some may be a little frightened of us.
7.) CGD is asking us to encourage people to bid on the auction items and to remain in character but interact with the guests. We can "mess" with the guests, but use judgement if you sense they are not comfortable interacting with you.

I may be a few minutes late to this, now. I just found out I have a second callback at the Irish Classical Theatre (which isn't too far away from the Hyatt) and that's running from 3pm-4pm. I will be out of there and to the event as quickly as I can.

 

I will also have my ANH Leia blaster if Lil' Leia is in attendance.

 

Looks like my callback's being pushed to Sunday so now I won't have a problem being there at 4.

To anyone staying to enjoy the evening:

You may want to bring a towel from home to shower (along with shower supplies) as I am not sure how many we'll be able to get.

 

We were just talking about that.

We should address the rooms right away when we get there...NO MEN WITH WOMEN. 2 rooms for the dudes, 1 for the chicks.

 

Well... Duh.

 

That will actually work out perfect. The ladies room will have 7 and the two men's rooms will split 15.
