This is something that I'm implementing in the Charlotte forums so that the first post of an event thread is really clear. It can always be edited by an RSA to update information. So when an event is coming up the person planning it [or I guess since now you all have an event coordinator] would post this: In the Subject line: Sponsor, Event Name, Day, Date, Time examples: [TFF Event] Reid Park Howl-o-ween, Fri-Sun, 10/27-29, 5pm or [DSG Event] Toys for Tots, Sat., December 4th, 10am to 2pm Message Body: Event Sponsor: [example: TFF, DSG, Rebel Legion, Lucas Film, etc.] Hosted by: Event Place: Event Time: Arrive by: Number of Costumed Characters needed: Number of Wranglers Needed: Special Items needed: Weapons Allowed: Bring with you: Transportation and Parking: Additional notes: I filled out an example for you all: In the Subject line: Sponsor, Event Name, Day, Date, Time [TFF Event] Reid Park Howl-o-ween, Fri-Sun, 10/27-29, 5pm Message Body: Event Sponsor: TFF Hosted by: Reid Park Event Place: Reid Park Zoo Event Time: 6pm Arrive by: 5:30pm Number of Costumed Characters needed: As many as possible Number of Wranglers Needed: Yes Special Items needed: CD Player, stickers to pass out, candy Weapons Allowed: holstered only Bring with you: water, duct tape Transportation and Parking: Post if you need to carpool. If you get there early enough you can park by the dressing trailer. Parking is free. Additional notes: This was a big event last year. Lots of kids and lots of photo opps. [/b] The above example isn't meant to be accurate for the current year's event. I'm just making this stuff up as I go. I'm also presenting this to the Chapter Rep. forum so that folks can use this to be really clear about who is doing what to whom and why. Hope you all find this useful. ~Jada
Looking back oat the opening posts of old event threads, half of the time we don't ever have half of the information that you are asking for on this form. We would post the info as we got it. It looks good, but I doubt its practical application.
That's the beauty of this. If you open an event thread using this the thread can be edited to include the information as it is obtained. That way folks know that they can always look at the 1st post for the event information and not have to search through the thread trying to figure out things.
