Despite the tumbleweeds rolling through this forum, Docking Bay 516 is a very active club. In particular, we have had a number of club meetings that appear to have gotten almost no mention here. I admit I should have been posting meeting minutes at the very least. Let me start by going over the last six meetings.

Billy, Dana, and Abhay are going. Note, this conflicts with our meeting.

    Event Planning

    Postponed 'til later.

    Club Business

Meeting 75 - February 8 at 8 PM dinner meeting, post-NYCC, at Applebee's in Bethpage.
    Meeting 76 - March 8

We definitely want a table to maintain a fixed, physical presence.

    Panels
Knight Rider - Chris and Abhay
Game Shows - Abhay and Dan/Dana
    Pirate Trivia Game Show
Wheel of Fandom - Rob will build the wheel. Dana will be the Vanna. Dan will work the computer. Consider using (Detention Center, Temporal Distortion) for Lose a Turn and (Garbage Chute, Black Hole) for Bankrupt.
    Star Wars Movie Quotes Trivia
    Family Feud
    and

    Fan Awards
Kenny has agreed to host again.
People need to submit entries for "Favorite Fan Film"

    Promotional stuff for the newsletter

The Long Island Star Wars Fan Club, Docking Bay 516, will be presenting the second annual Star Wars Fan Awards. Join us for an entertaining show of Star Wars costumed characters, fan films, live acts, and some special guests. Other DB 516 events at I-CON include game shows with prizes, such as Wheel of Fandom, Sci-fi Family Feud, Star Wars Movie Quotes Trivia, and the Pirate Trivia Game Show. There will also be a Knight Rider discussion panel.

    Meeting 75 - 10 PM

    I-CON Stuff

We will have an I-CON discussion meeting Saturday night, February 21, location to be determined. We put together the list of media and who will obtain each item. The submissions request for the Fan Awards categories has been up on TFN boards in some places. We shall investigate further publicity as submissions so far have been abysmal. The Feud survey is up; please publicize widely.

    Club Business

There have been website updates! And there will be more updates regularly as the rest of the club makes a stronger effort to keep the webmistress in the loop.

We talked about holding regular Saturday meetings or meetings on Sunday nights so that more people can make meetings. The issue with night meetings is that we don't have a good (sufficiently quiet) location. The result was that we will be trying Saturday meetings on alternate months starting with Saturday, July 11.

    Meeting 76 - March 8
Meeting 77 - April 11 (Saturday before Easter)
Meeting 78 - May 9 (Saturday before Mothers Day)
    Meeting 79 - June 14
    Meeting 80 - July 11 (Saturday)

Meeting ended at 11:38 PM. w00t.

    Meeting 76 - 1 PM

    I-CON Stuff

Fan Awards are canceled. Dana is handling the official messages. We won't be collecting submissions, but this change gives folks a long time to think about and work on submissions for next year.

Quad flyer for the table and posting around at the convention: club info, AeroSith/Masquerade, game shows, and Knight Rider panel. Dan and Anu will work on this.

Pirate Trivia is done. Feud has enough responses but would benefit from more. Quotes is ready to go, as always. Wheel: The new wheel exists. The software is coming along. We will do testing and a dry run this coming Sunday (March 15) at Steven's place, starting with lunch at Krisch's at 1 PM.

Knight Rider has progressed well and we have a good plan for what we're going to do.

Table: We will plan out a minimum of three hours alone at the table for each person over the nineteen hours of dealer room time. We'll bring Jar Jar, but only bring out the game when someone willling to run it is available. We may run a mini-costume contest for SW costumes at our table, especially if we can get a photo printer to print contestant photos and put them up. We will have a sign-up list for the Yahoo list. Billy will handle the various paper/sign stuff for the table.

Locations: Abhay will send detailed instructions.

    Club Business

The Yahoo Group doesn't send automatic meeting reminders any longer. Dana will fix this.

Meeting 77 - April 11 (Saturday before Easter)
Meeting 78 - May 9 (Saturday before Mothers Day)
    Meeting 79 - June 14
    Meeting 80 - July 11 (Saturday)

    Meeting ended at 3 PM.

    Meeting 77 - 11:40 AM

    Introductions -- new member: Austin

    Past Events

I-CON Game test run March 15. It went well and was helpful to Abhay.

    I-CON Debriefing

Went well: Games were packed. The new wheel was great. Game software worked smoothly and Dan did a great job. Masquerade attendance was awesome. AeroSith was well-mentioned in the program book. Badge packets were well-designed. The table stuff went well, including having Vader Chris present to draw people in. Our table location was quite good.

Went not so well: Room changes. Room too small, especially for Feud and Masquerade. Too hot in the dealers room plus bad air quality, probably all due to poor ventilation. DB516 fan group bio was submitted but not in the program book. We failed to distribute a lot of our flyers. We need to warn people about the strobe light for Masquerade. A/V was a big problem. Knight Rider attendance was low, though the quality of the folks was quite good. We did not have power at the table, so we didn't do the photo slideshow, the music, or the costume contest.

Other thoughts: We liked the new campus location, but would prefer that the convention use more campus space and depend less on the hotels.

Ideas for the future: Maybe the hotels can let us post flyers. We'd like to consider having AeroSith set up in advance, rather than right before when we play, especially if we're playing during intermission/judging as expected next year. We should ask the NY/LI Jedi to do crowd control in advance -- Lenny already knows some of them. We may not have a table through our usual channels, but perhaps we can get a dealer room table through one of the many tracks in which we participate. Power at the table would be great. Regarding keeping stuff at the table, assume the table may close an hour before the dealer's room closes.

Our own room: Longer game shows, more panels. Easy to fill time. Plus, we can decorate the room, etc. Maybe use the room as a table-like location to keep stuff. Then the actual table doesn't need to be manned. We can also have fixed video camera locations to tape all the panels. Let's discuss in the future. We'll make a mock schedule based on email discussion.

    Upcoming Events

Chiller Convention April 18 in Parsippany. Billy, Chris, Steven and Abhay will be going, maybe Dana as well.

Pittsburgh Road Trip April 25-26 for the Vader Project at the Warhol Museum. We'll meet up with the Pittsburgh Fan Force. So far Dan and Dana are in.

Big Apple Con -- we'll discuss next month once we have more information.

    Event Planning

SWD at Hollywood Video for the Clone Wars television show DVD release (the complete set).

SWD at Best Bargain Books in Centereach: There's enthusiasm from the bookstore and it has a good setup for doing a presentation. We shall await a good Star Wars book release; we just missed the Fate of the Jedi series. Dan and Austin will get back us. Also consider promoting Clive's book at this location.

Discuss summer social events at the beach, at a ball game, etc. next meeting.

    Club Business

Bio Kit: Dan recounted the history of the bio kit project. Suggestion: use the I-CON stuff as a start.

Yahoo Calendar was updated by Dana to include our meetings with reminders. Abhay will send a test email to the group and to the active members to verify membership.

Meeting 78 - May 9 (Saturday before Mothers Day)
    Meeting 79 - June 14, possibly a barbecue meeting.
Meeting 80 - July 11 (Saturday), possibly a barbecue meeting. This might be Shore Leave weekend; we'll find out.

    Meeting ended at 1:40 PM.

I was not present at Meeting 78. Can somebody please post at least a sketch of what happened at this meeting, if not minutes proper? Thanks.

    Meeting 79 - 12:00 AM

    Past Events

AeroSith Video Shoot on June 6. New venue was good fun if not ideal. Filming went well. Dinner afterwards at The Good Steer was fun, with a few more folks joining us.

Fanboys on June 7. Dan, Tim, Dana, Abhay met to watch Fanboys. Opinions were mixed.

    Upcoming Events

Wizard World in Philly (next weekend). Dana and her Rob are going on Sunday. http://www.wizardworld.com/home-pa.html

Star Trek Creation Con in Parsippany, NJ (July 31-August 2). Chris and Billy might go on Saturday night and stay for Nimoy on Sunday. http://www.creationent.com/cal/stnj.htm

ConnectiCon in Hartford (July 31-August 2). It's supposed to be somewhat like I-CON. Abhay is leaning toward doing this and Dan may join. http://connecticon.org/

Dragon*Con in Atlanta (September 4-7). The usual suspects will attend. http://www.dragoncon.org/

Chiller Theatre in Parsippany, NJ (October 30-November 1). The usual suspects will attend. http://www.chillertheatre.com/

    Event Planning

Book Store Event. Rob talked to the EC of the Best Bargain Books. They want to have us and do as much as possible. One possibility would be to attend a movie night in costume. There is a book release on Tuesday, August 18. Let's target a Sunday, July 26, August 9, or August 30.

Montauk Trip. Maybe switch locations, possibly Sands Pt, Sunken Meadow, Jones Beach, etc.

Spy Museum. One weekend in DC (Saturday night stay). Shoot for the fall/winter/spring, before I-CON.

Indianapolis Science Museum Clone Wars Exhibit (until end of 2010).

    Club Business

Bio Kit. We considered the latest draft.

Meeting 80 - July 12 (Sunday), possibly a barbecue meeting. This is Shore Leave weekend.
    Meeting 81 - August 8/9 (TBD)
