QUESTION OPEN TO ANYBODY: Is there a way to reserve a meeting room, at Bookman's/H&V/Library/etc., at the same time every week? Example; say, every Saturday from 2-5/3-6. If this can be done, then THESE ARE THE "MEETINGS" we should be advertising.
"Hi. We're the Tucson Fan Force, a local Star Wars fan club. Come see what we're doing THIS week."
(just as an example, these selections are NOT etched in stone, how it would be arranged we could decide on later)
FIRST SATURDAY (of each month): Board Games, card games (like MAGIC), RPG games, including Star Wars Minis, Warhammer, D&D, etc...
SECOND SATURDAY: Arts & Crafts, model building, props building
THIRD SATURDAY: Movie day, Star Wars and other Sci-Fi/Fantasy films
FOURTH SATURDAY: Book Club
I've listed a number of non-STAR WARS related activities to try to lure the crossover crowd in. There is a large Sci-Fi/Fantasy population in Tucson, and they are the ones we need to attract. We could have child-oriented games, puzzles, coloring books, and adult(NO, I DO NOT MEAN "MATURE ONLY" )games.
It would give people a place to go each week, and would be a better introduction to the group than the monthly meetings are

awesome suggestions Jack, but the hardest thing is to reserve the same place same time every week at anywhere except private property such as the Galactic Empire. eventually i will build a Jedi Temple here in town somewhere and i will gladly give any time the group needs reserved. an open invitation if you will to have every day of the week if needed reserved and available at a moments notice if necessary. this i would do for the Group now if i could, but it may take me a while to get the Temple built. until then finding a place to have every week at the same time could be quite difficult. i do love the ideas though, well done

Further reading of this thread and I think I could/should have skipped posting a majority of this post as the group seems to have moved on and I seemed to have drug backwards... so feel free to just skip most of this post if you want.. except for the colored part at the end.. I just had a lot going on at home and I missed a lot of what was posted due to my negligence at getting on line for a day or so due to stress at home.. my apologies.. though Jack I do hope you understood I was not arguing with you I was just hoping I could get you to see my point of view as I wanted you to at least understand my point of view even if I could not change your mind. The issue of the younger members is really near and dear to me because of my son and because he will be 13 this fall and he will be a posting member soon!! which makes me both happy and sad.. I want there to be something for him in our group to share with us. and I saw him so hurt last year that the group had changed so much from it's conception to what it became in the year he left.. he struggled all summer to find a way to belong and I honestly tried to discourage him from speaking up at meetings because I felt he just got in the way of the meetings discussion of events in the direction the group was going.. and then after talking with people at CIV and seeing Steve's kids and Chris and Amber and then Dustin and Michelle and Mike and Brandon and Alex I just wanted us to really be sure we remember and reach out to the kids.. young members.. young adults.. all ages.. so please forgive me if I stepped on anyone's toes.. I did not intend too.. I just want us to share all that we have in our group with as many people out there as we can and sometimes I guess I get too zealous in my pursuit.
I will be leaving for Arkansas in the morning and will be back on Monday God willing. Love to all of you. I so do love being with all of you and I am so grateful that I have all of you in my life

I also posted that the "younger people" (13 yrs and up) would want their vote in the group as well.. so I was giving them the respect they deserve.. that is in fact was my whole point.. that I feel they are not getting as much attention and respect as they deserve in the group.. I think they deserve some catering to.. and some direct attention to their specific interests.. whatever those interests might be we should be finding out about them and promoting those interests to get them involved in TFF, that would then be part of the activities we are lacking.. speaking of.. activities.. I said we needed the activities to keep them interested in being a part of the group and so they would not be bored (sadly.. I can't not say bored.. people do get bored at our meetings because they are so long and drawn out with items that don't include everyone in the discussions).. I think people are still just reading only part of what I am writing and then drawing conclusions that I have not said. The activities I mentioned by name were books, trivia and sketch pads.. which I find hard to believe could offend anyone at all.. it certainly would not ever offend me.. those are equally adult activities same as activities for any other age.. I have seen plenty of adults doodle on sketch pads when meetings became a bit off topic for them..( I actually could see many memebers doodling even if they were not bored to be quite honest) and I certainly can remember plenty of times in the past when we had more than enough time at the end of meetings when the TFF used to have time to look through books and discuss trivia at the end of many TFF meetings before they got so bogged down with detail items from the agenda items for events.. which people seem to be forgetting.. when our meetings were over early on we still sat around for a long time and discussed all sorts of topics and it was at that time that the kids (both mine and other people's kids) (younger members) got involved in the topics and discussions.. in fact I watched my sons disillusion with the TFF grow as our group changed.. in the beginning he was very active at meetings.. he always was very verbal and spoke at great length of his thoughts on subjects along with everyone else.. and on occasion he drove even me batty.. but at other times he made good sense and carried along with everyone else quite well.. but I saw him come back the following summer and the meetings had completely left him in the dirt with just discussing event coordination.. he had nothing to input for that topic.. he wanted to.. he even tried.. but no one listened to his input.. I had to ask him to be quiet and let the adults talk..there was nothing for a young man to add to a discussion on event coordianation.. and he was completely crestfallen.. we didn't lose him as a member because he was my son.. but he was hurt beyond belief that no one wanted or needed his opinion any more.. and as he was and is my son and I was the CR and it was my duty to shuffle him to the side and let him know it was a business meeting and that was just the way it was.. but I have since spoken to enough Fan Force clubs to know that I was wrong.. we should have realized it then.. and we should realize it when Steve is at meetings with his kids and you can see they are bored with listening to event coordination and we should realize it when Chris is there with his kids and we should realize it when Michelle can't be at a meeting because of the babysitting situation..
I like a combination of Chris, Damian, Michelle, and Jack's ideas all.. to have a different meeting for business but not make that meeting the main meeting of the month.. make that meeting an event coordination meeting that is for members interested in attending to plan events and anyone that doensn't want to attend would not have too..Rather than not make the meeting public as we really should not restrict access to Fan Force meetings you could in fact announce it and just announce it as such as it is.. that it is a meeting to solely discuss planning TFF events and no special activities will be taking place.. only business will be conducted. then Dustin could report on it at the main meeting. Make the general monthly TFF meeting at a public venue because as we have seen in the past when new people show up at meetings they like to do so at public places not at someone's house.. I believe Cheryl and a few others have spoken of this in the past being how they felt for first time meet and greets just not feeling comfortable at someone's home. Then have the event Coordination meeting at someone's home or at a public venue either way..

Okay, I have been thinking about the "activity meetings" (for lack of a better term) a lot today. I think this is a great idea and one that would be open/fun for ALL ages. It would be great to make at least one family-oriented, like craft week. Personally, i think that having something each weekend would be vary ambitious. I think that having the book club for one weekend and one weekend for something else would be doable.
1st we need the space:
it shouldn't be that difficult to get the conference/community rooms at various bookmans and libraries across the city. This could be done as far in advance as these facilities will allow us. I looked into parks&rec today online and it could be from $50-100 (refundable deposit + per hour fee + room setup fee). Cat said it would be a $250 deposit on her clubhouse. So I think that our only options so far are Bookmans and the Libraries.
2nd we need to advertise it:
We could book these rooms for the date/time we designate, as far in advance as possible and then write up a schedule with the information for the website. I looked on tucsoneventcalendar and it doesn't look like there is any cost for posting events on their site. This site is straight from the tucson citizen and has a lot of events regularly posted. I don't know what the traffic is for the site.
3rd we need to have people for the event:
We would need volunteers for each event. Cat really wants the book club to get going so maybe she would agree to do this once a month. How many people would be willing to lead a group activity meeting once in a while?
4th how do we fund it:
to me this is the major sticking point. would this be something the group as a whole would be willing to fund? like the volunteers submit to the group the costs and we all form a kitty for this or does the volunteer along with their time, agree to foot the cost as well? keep in mind this could get pricey. drinks are pretty much a must for anything over an hour, food is optional, paper, pens/markers, etc.

I agree, when I get back from Arkansas I will do what I can to help search around for places as well.

I have used the tucsoneventcalendar a lot for TFF meetings, though not in the last year, I'm not sure about how much traffic the site gets either, but I myself use the calendar every month to find events to go to and I have met a lot of people that also use the online calendar to find places to take their families to as well. I also will check on prices for Bear Essentials newsletter. I was supposed to already have done that but some stress at home got in the way and I forgot to take care of it. you are already onto some great ideas!!

yes, I would definitely do the book club and I would do other activities as well. I would be happy to if it would help to get them going and see them flourish

definitely we have to use dollar stores.. and I know I keep praying for Jake and my financial situation to get better so that we can get back to normal and be able to start funding things normally again.. certainly though we can find a way to buy kool aid as a drink.. that is inexpensive and tastes good all things considered.. I make it sugar free. I can volunteer time with no problem as long as I have advance notice to give to Alex's mom. I think we have to decide what to make the activities and go from there.. any chance we could brain storm on activities. Who would care to join us and brainstorm?? I'm really excited.. though again I did not even bother to see who else had already responded to this post.. I may have to edit and edit if someone has already posted all this already.. but I was very excited to read this and I am supposed to be napping before getting ready to take the bus to Arkansas in the morning.. boy oh boy.. Jake is ready to crown me over the head!!!
