Hello and welcome to the 2018 Awards! Things are going to be a bit different this year, so please read carefully! We’ve tried to make the entire process as simple as possible, but still fair. TL;DR Overview (Please actually read everything!) There will be nominations and voting, no excerpts. All stories that are nominated will go to the voting round. A thread will be posted with links to each story that is going to voting. The entire process will be by survey, but you will have to register with the mods to be allowed to nominate or vote. This thread is locked and stickied so you can reference it throughout the awards. If you have questions or comments, please post them in the Awards Customer Service Desk. Those working the Awards Briannakin mavjade Mira_Jade Raissa Baiard Findswoman Eligibility For Star Wars FanFiction: Any story posted or continued January 1, 2017 00:00 (12:00am) PST through December 31, 2017 23:59 (11:59pm) PST except: Any story that has won an award in the past. (LIST HERE) Any author who has won best author in the new-awards era (since 2014) can’t win best author the era that they won in (LIST HERE) Reposts are eligible if they didn't win an award in the past. A series that won best series, or had a story that won in a previous year is eligible for the series categories if it has had a new story added. Please see the FAQ at the bottom of this post for further info/examples. For Non-Star Wars FanFiction: Any story posted or continued January 1, 2015 00:00 (12am) PST through December 31, 2017 23:59 (11:59pm) PST. Since NSWFF hasn't participated in awards in many years, any author who wrote in this time period is eligible for Best Author. ~*~*~To Participate in the Awards ~*~*~ In order to nominate or vote, you must send a PM to Briannakin, mavjade, or Mira_Jade and register. Please make the purpose of your PM clear (IE: use the subject "2018 Fanfic Awards Voting Registration Request," or similar). You will be sent a voting code which is your user name alongside a random and unique number. (Example mavjade42). When you nominate or vote there will be a mandatory field for name. You must put your voting code for your nominations and votes to count. Lurkers are certainly allowed to register to nominate or vote, but please know that if there is any suspicion that your account is a sock of another registered user, or a sock of a banned user, your votes may not count. Nominations You will submit your nominations via survey on SurveyMonkey. The volunteers will take the stories nominated and make a list of eligible stories. ALL stories nominated will go to the voting round. *Important Note - The survey is quite long and has no way to save, so please read ALL instructions first. We recommend having a text document with your nominations and links prior to starting the nomination survey. Once you submit your survey, you can not resubmit. If there is an issue with one of your noms, you will be contacted on how to resubmit that nomination. How to nominate: Make sure you are registered with the mods (See “To Participate in the Awards” above.) Go to the nomination survey located HERE Fill in your voting code (your username and number combo you got from the mods) Fill in your nominations under each category. The nomination survey has 4 boxes for most categories (author and series categories are the exception). In the first and third boxes (Choice 1 and Choice 2) you fill in the name of the story and the author. In boxes 2 and 4 (Choice 1 URL and Choice 2 URL) you copy/paste the link to that story. Spoiler: Voting Code Screen shot Spoiler: General Voting Form Screen Shot For Best Series Categories there are 2 choice boxes (Choice 1 and Choice 2) and 4 URL boxes for each choice. Please put all of the titles of the stories -separated by a semi-colon- in Choice 1 or Choice 2 and then one URL per box. If the series has more than 4 stories, please fill in the first 4 URLs and then send the full nomination to one of the mods. Spoiler: Series Screen Shot Best Author Categories will not have URL boxes. After nominations are over, all authors who were nominated in a Best Author Category will be contacted to give URLs to 3 eligible stories that they feel best represents their work. Nomination notes: -You do not have to nominate in every category. -You do not have to nominate 2 stories in every category. -If you do nominate 2 stories in a category they do not have to be in different eras (unlike last year) Once the nomination period ends, a thread will be posted with all nominated stories. You will then have quite a bit of time to read and decide for whom you want to vote. Right now that time is set at 6 weeks. We may extend this time depending on the number of nominations. Non-Star Wars FanFic nominations start at question 40, should you want to skip directly to NSWFF. You do have to scroll through the whole survey to reach the NSWFF nominations. If you do not wish to nominate in NSWFF, you must still scroll through the questions in order to submit. Add-on January 10: We know there are a lot of categories and a lot of stories to nominate, so we expect there may be a few nomination mistakes. But at a certain point those mistakes can create too much work for the volunteers. If there are 5 or fewer mistakes we will PM you and ask for new nominations. If there are more, we will throw out the incorrect nominations and not PM you for corrections. By nomination mistake we mean you nominated something that isn't eligible due to winning in past awards, is outside eligibility timeline, or doesn't follow the general rules. (Such as the rule below that as a general rule, the author is always right about the era and type of story they've written.) Mistakes such as forgetting to put an author in your nomination, or misspelling the title do not count toward this total, but PLEASE make sure you read the instructions on how to nominate. Those things might not seem like a big deal, but they add up when you are checking and indexing many nominations. Voting Voting will be done via SurveyMonkey. Only those who register with the mods will be allowed to vote (See "To Participate in the Awards" above). If you registered in the nominations phase, you do not have to re-register to vote. How to vote Once voting starts, the link to the voting survey will be announced in this thread and placed Voting has begun! Please go the survey HERE. When the survey asks for your name, you'll put in your voting code that was given to you after registration. You'll choose your winners via multiple choice. Once voting is over we'll have winners almost immediately with very little room for human error. General Rules --No voting or nominating with a sock. No nominating or voting for yourself. Only one set of nominations and votes per person. Anyone found nominating or voting with a sock, or for themselves will no longer be allowed to participate in the awards. --No advertising is allowed. This includes posting: please vote for me, please vote for someone else, I’d love to win an award, etc. Once nominations come out, you are allowed to post in a nominated story a 'thank you for nominating this story' post one time. Anything else will be removed and may result in removal of that story from the awards. --With regards to nominating, as a general rule, the author (as they have indicated in the opening post of their story) is always right. If the author doesn't specify, the nominator is right. If an author says their story is in the OT, then their story should be nominated in OT. If it pertains to something that is more ambiguous like a genre, the nominator is right. If you think it’s the best humor story, then nominate it for best humor. If the author disagrees with a nomination for their story, they can pull their story (as long as voting hasn't started) out of the category but they can't change the category - for example if the author thinks their series is a serial and not an episodic, they can pull their story from episodic series but we won't place it in serial. If someone is obviously trying to skirt the spirit of a category, the mods will deal with it on a case by case basis. FAQ Why are things being done this way? Please see THIS thread for an explanation. I thought you guys were against using outside source such as a survey? We were, and kinda still are, but we needed a solution that was fair and less time consuming for volunteers. We think that by having people register with the mods and being given a voting code they have to use, it will cut down on the worries we have about using an outside source, namely us not being able to check IPs and make sure the person is who they say they are. I don't want my stories a part of the awards, what should I do? PM Briannakin, mavjade, or Mira_Jade and we'll pull your stories from eligibility. You'll need to do so before voting begins. Are you going to contact authors that are nominated? We are only contacting authors who are nominated for best author categories - if you want to see if you have been nominated, you will have to check the nomination list when it comes out. This isn't any sort of skirting around author's wishes, this is simply to save a step for the volunteers. Are the authors who won Best Author always going to be ineligible to win again? No, the Best Author category ineligibility 'expires' after 5 awards (except for Best New Author), so those who have won become eligible after that amount of time. Those who won Best Author in 2014 will be eligible again in the 2019 awards. Is a series that won Best Series previously but has had new stories added eligible for the Best Series awards? Yes, these are the only categories where stories that won the previous year could be included as winners this year. If a story was added to the series, then the entire series can be nominated for one of the Best Series categories. The stories that were part of the series that previously won are not eligible for any other award even if they were continued, but the new story is eligible for any award. Example: Series Alpha: Story A; Story B; and Story C won best series in the 2017 Awards. None of those stories are eligible to win this year even if they were continued because they won. Story D was written within this eligibility period and is eligible for anything, but Series Alpha: Story A, Story B, Story C, and Story D eligible is also eligible for Best Series. Story Beta won an award last year as a stand alone story. Story Beta is now part of a series Beta Series: Story Beta; Story Beta Gamma. The series is eligible for one of the Best Series awards and Story Beta Gamma is eligible for any award. Are there going to be prizes? No. In our analysis of fairness, time, prizes delivered, and hurt feelings, we feel that they aren’t worth it. This was something we started when the awards first came back after the move to try and entice people into participating, it wasn’t something that had ever been a part of the awards here before. If someone wants to make an icon that the winners can use, and/or a banner winners can post in their threads, we will entertain that idea. Please PM us if you are interested in making such an icon and/or banner. Can the volunteers nominate and vote? Yes, everyone is eligible to nominate and vote with this process because there's very little counting involved and therefore very little chance of anyone being able to influence the results. The volunteers (and mods) will have to nominate in the first week and a half. The mods will have to vote within the first two weeks, the volunteers who won't be able to see the live results will have the entire period to vote. Does this mean the mods are taking over the awards again? No. Although we are laying down the groundwork for this year, we are hoping that -if this works- we will be able to step back again in future years. Are the mods going to be snarky about the awards again? While we make no promises that it won't happen, we are going to try and rein it in. We’re in hopes that by doing it this way, things will be much calmer and nicer and we won’t have as much stress that makes us snarky. Some of it is a long standing tradition that the mods are snarky about them, but we know it makes some people uncomfortable and we’re taking that into account. Just like we don't want hurt feelings with the awards process, we don't want to hurt feelings with our sarcasm. Who will write the ceremony? The mods along with the volunteers, though expect a much more simpler awards ceremony.
