Hou, TX Houston Relay for Life - April 23-24

    The South Texas Squad of the Star Garrison of the 501st Legion is extending this invitation. This is for a great cause and most likely going to be a lot of fun too.

    Event: Relay for Life North Channel (Same event as the Baytown event, different location and smaller)

    Date/Time: Friday, April 23, 2010 - Kickoff is at 6:00 pm. We will plan on closing up shop about 11:00 p.m. depending on how it is going. If we are busy and having fun, then we will call an audiable and keep going.

    Location: North Shore High School, 13501 Holly Park, Houston, 77015

    Christy and I (I'm Courtney by the way) might be able to make it out for the Fan Force. I'll have to check her schedule and see but we'd love to help out if we can. ^_^

    1) If the key players with the toys can make it, I would like us to do the green screen. I would like to set up the jail and make arrest. I want us to sell more of the toy light sabers. Not for as much at the Con, people won't pay it, but we can still make a profit. (This time we can combine the money to the one pool. I will turn in my receipts at the end and take immediate cost out. Hopefully to stop the confusion I caused at Comicpalooza.)
    2) Any and every person, 501st, Rebel, FanForce, and family can join, get donations, take part, help with the booth, etc. And it all contributes to a bigger donation to American Cancer Society's Relay For Life.
    3) I cannot watch the money for I will be very busy at this event. I will be maintenance to keep everything going and to fix any problems that might show up. I would suggest Kat but she told me that she might not be available for this event. :-((

    Courtney and I are officially checking in as Fan Force helpers. :) We should be able to get there by 6, no later than 6:30.

    I have received a request from the Relay for a donation from all teams to the silent auction.

    Some teams are making baskets. I believe they are filling baskets with stuff and wrapping with plastic wrap. Not actually weaving baskets even though I am sure some of our team most likely could.

    We need to come up with something and have it come together in a week. So throw out the ideas because this is not my comfort zone.

    ?Cash Handling.? I have been working on this since the beginning trying to solve as many of the problems before they happen as I could.

    My suggestion:

    A central table of two people who will sell carnival, light sword and photo tickets, arrest warrants and bail releases.

    $10 for a photo ticket ? one ticket will get you a photo from the green screen.

    $5 for a Green raffle ticket ? one green raffle ticket will get you a light sword. (I already have these from a previous event.)

    $1 for an Orange raffle ticket ? one orange raffle ticket will get you a turn on a carnival game. (I already have these too.)

    In addition, I will also make up some arrest warrants and bail releases that will be issued by the two moneychangers. They will be whatever amount is donated. There will be a log for them to keep up with the money.

    I will also make a log for general donations in case someone hands a 20 for the photo and does not want change. We have to know about the donations or at the end of the night, we will be off in our count.

    Now for the customer:

    The customer will hand a green raffle ticket to the person watching the light swords and will receive the light sword. Our person will drop the ticket in to a jar. We do the same for the carnival games, and photos.

    When the troopers come back with their criminal, they hand the jailer the warrant ticket. In to a jar it goes.

    The criminal can either wait 10 minutes or post bail. If someone wants to post bail, we have one of the cash handlers sell them a bail release that is handed to the jailer who lets the person out.

    Now for the cross check at the end of the night.

    We count tickets taken from the rolls, and we count the photo tickets used and then do the math. We then add up the warrant, bail release and donation reports. We add all of the amounts and this should equal the amount of money in the cash box minus any out-of-pocket receipts.

    There is no reason to count the tickets or warrants in the jars nor the photo tickets turned in. Not everyone who buys a ticket will use it. It is just a procedure that looks good to the public.

    As for my receipts for the light swords, I showed them to Kat at the Con and I have emailed them to Chris S a few days back. My total cost per light sword is $1.49 each. How ever many green tickets is sold should be multiplied by 1.49 and that is my cost. I am eating the cost on the broken ones just for the chance to make money for our events.

    I already have spent money for photo paper/ink supplies for the green screen and some light bulbs to replace what was broken of Sam?s. I will give Chris S the receipts sometime during the set-up of the event. Chris should ask for my money out of the cash box and put the receipts in it as a paper trail replacement. Anyone else who has direct related out-of-pocket cost should turn their receipts into Chris S. Just like Sam who was out quite a bit for the relay, I, too, have spent more money than I could afford to make this a great event. I am not asking for reimbursement but it is still my cost for volunteering.

    The Relay staff is accepting cash money the night of the event. I have asked if they will come to us but I do not think they liked the idea. 2 or 3 people can carry the cash box over to them and turn in the money. They will be allowed to wait for the receipt, which should not be that long at 12:30 ? 1 a.m.

    Our show team did what they are suppose to, they were the show. Kids and adults alike were mesmerized by the team. We had people from the Houston FanForce, the Rebel Legion and the 501st Legion working together for the greater good.

    Green screen, light saber sales, carnival games, and arrest kept everyone busy and made for an awesome time.

    This was probably one of the best showings we have ever had for this type of event that I have been at.

    Thank you to everyone who made this such a great and SMOOTH event.

    Thanks for having me at the event guys. I had a great time arresting folks, taking pictures and holding babies. I look forward to the next one!

    Erik, I believe there was 25 or 26 of us that was either in costume, or helping out in various ways. Everyone pitched in and it was a great event.
